What kind of events do I photograph?

From conferences to year-end company parties, I photograph many kinds of events, and at each one something different matters most: at a professional conference, the speakers and the people asking questions; at an award ceremony, the winners’ faces at the moment they receive their award; at a product launch, the product itself and the guests’ reactions.

That is why I start from the nature of the event when I prepare for the shoot.

Conferences and professional forums

When photographing a conference, I capture the speakers at the lectern, the panellists on stage and the people commenting from the audience, and I also photograph the full room. These photos work well in press materials, in the event report and in the invitation to your next event.

Galas and award ceremonies

At an award ceremony, you typically need a photo of every winner holding their award, as the winners and their companies are glad to use these later. The gala programme, the stage performances and the atmosphere of the dinner are captured too, along with the relaxed moments during the breaks.

Product and brand launches

At product presentations, brand launches and press events, the product, the brand and the guests take centre stage. The series below from the Schiller Geely opening event, for example, shows the car presentation and the stage programme as well as the guests chatting around the new models.

Company days, year-end parties, receptions

At company days, year-end parties, team-building days, receptions and company dinners, most of the photos show relaxed conversations, shared activities and team photos. In internal communications and on social media, these show clearly what the atmosphere of the day was like.

My work

Event photography: a selection of my work

An event report is complete when the photos show both the programme and the people: the speaker at their best line, the winner receiving their award, and colleagues laughing together during the break.

I have put together the photo series of six assignments, each from arrival to the last item on the programme, so you can also see what you receive after the event.

If a photo particularly appeals to you, mention it when you request a quote: that tells me most precisely what kind of atmosphere you would like.

Semmelweis Day

The award ceremony of Budai Egészségközpont: welcome speeches on stage, the presentation of the Excellence Awards and finally the relaxed moments of the reception. 8 photos in the series.

Schiller Geely opening event

The opening event of Schiller Geely’s car dealership: stage programme and car presentation, a dragon dance, and guests chatting next to the new models. 13 photos in the series.

Team-building day

A full-day team-building programme at Haris Park, indoors and in the garden: professional talks, live music, a DJ, team photos and conversations. 25 photos in the series.

Panel discussion

A GLOW talks stage conversation in a studio setting: the speakers and the best moments of the discussion. 7 photos in the series.

Conference

A conference of Budai Egészségközpont in the ceremonial hall: talks at the lectern, a music programme and relaxed conversations. 6 photos in the series.

Gala dinner and reception

The gala dinner of Budai Egészségközpont in the main hall: festive table settings, a welcome speech and stage performances, conversations and a reception. 10 photos in the series.

Your schedule

What should we agree on in advance?

I know that on the day of the event the organiser has a thousand things to do, and the photographer is the last person they want to deal with.

That is why we settle the important questions in advance: you tell me who and which moments must definitely be photographed, and where and from when to when I should be there.

Once that is agreed, on the day of the event you only need to focus on your guests.

How each photo finally turns out is decided by the moment, which has to be spotted on site, from the right place. You can safely leave that part to me.

Preparation

How do I prepare for an event?

Before every event, I think through what the venue requires and choose my equipment accordingly.

A darker conference room or a gala lit by stage lights needs something different from a garden event, where a cloud or strong sunshine can change the light within minutes.

For outdoor events, I therefore also check the weather forecast in advance.

On the day of the event, within the agreed area, I always look for the best viewpoint: at an award ceremony, the spot where both the winner’s face and the award are visible; at a conference, the one where the projected slide makes it into the frame next to the speaker.

In my view, this is what matters most. The same moment, seen from two steps away, makes a completely different photo.

How I work

How does event photography work?

You know the flow of your event best, so the shoot follows it: you decide when and where I should be, how long I should photograph, and roughly how many photos you need.

Preparation, photography and editing are my job; after the event, all you have to do is receive the finished photos.

01

Request a quote

Tell me the date, location and type of the event, and if you already know, how many hours the programme will last. From that I will prepare the quote.

02

Contract

The accepted quote becomes a contract, in which we set the date and duration of the event and the number of photos.

03

On the day of the event

I photograph with the requested people and programme items in mind. If the programme runs late, we agree on site how long I should stay.

04

Delivery

The complete set is usually ready within 3–5 days, and you receive it via an online gallery.

About me

Sándor Szabó, event photographer

I have been photographing business events and portraits for 15+ years, in Budapest and at venues across Hungary. For many companies I have been taking their photos for years, both of their events and their business portraits.

I do not think this trust is a coincidence: my clients like the atmosphere of my photos, and they know that the event photos and the portraits present the company in the same style on the website and in press materials.

FAQ

Frequently asked questions about event photography

Here I answer the questions that come up most often while organising an event: how much the shoot costs, when and how many photos you receive, and whether the guests’ consent is needed.

If you cannot find an answer, just write to me and I will be happy to help.

How much does event photography cost?

The price mainly depends on how many hours I need to photograph, how many locations the programme takes place in, and how many finished photos you need. Tell me these, and I will send you a quote tailored to your event.

As many as you ask for. The number of photos is also set in the contract. If it is hard to tell before the event, that is natural; in that case I estimate roughly how many photos to expect from the length and density of the programme.

I usually send the complete set within 3–5 days via an online gallery; the exact deadline is set in the contract. If you need the photos by a certain day, for example for a report or a newsletter, mention it when you request a quote, and we will see how to adjust the delivery.

Yes, for example if a few photos are needed on the same day for a press release or the company’s social media. It is worth agreeing on this in advance, because in that case, besides the shoot, I also need to leave time for selecting and editing.

A photographer can only be in one room at a time, so in this case you give me the schedule: you tell me which programme item is more important and where I should be when.

Under Section 2:48 of the Hungarian Civil Code, photos of crowds do not require the consent of the people in them, but a photo focusing on an individual does. At a corporate event, a photo of employees is also personal data, so the GDPR applies to it as well; the company’s data protection officer can tell you exactly what information or consent is needed. If someone does not want to appear in the photos, let me know in advance, and I will pay attention to it on site.

Anywhere the company needs them: on the website, in the newsletter, on social media, in press materials or in printed publications. There is one condition: the photos may not be altered.

Yes, both: I also work outside Budapest, and I take on English-language, international events. Just mention the location and the language of the event when you request a quote.

Contact

Request a quote for event photography

For a quote, just tell me when and where the event will take place, roughly how many hours the programme will last, and what the occasion is.

If you already know the key people and programme items, add them too, as that helps me send a more accurate quote.

Requesting a quote is not an order: you decide that when you accept the quote.

Tell me when and where the shoot will be, and what the occasion is. That is usually enough for me to prepare a quote. Requesting a quote does not commit you to anything.
